Pequots have been a cycling club for about 50 years. Reins have been handed down for decades. Several long time members of the club have taken their turn as volunteers, lending their time, their input in decision-making, and dedication to fulfilling their commitment during their tenure. To these wonderful people, we give a warm thank you for your service to this club!
The Pequots have a rich reputation as a social cycling group, a place to improve skills, people to ride with, opportunity to make new friends. Many of us have come to the club as novice cyclists and benefitted from the patient, friendly advice and assistance of more experienced club members to help us grow our cycling skills. The club has also been a place to find new and often life-long friendships both for cycling and other social activities.
Over the last two years we have been embracing technology to reduce time and labor needed to support the club. We’ve changed from a paper to electronic newsletter, distributed via email. We’ve recently introduced an online membership and renewal capability that eliminates the need for paper, checks and mailing costs and delays. This process is brand new, so there are some kinks that we’re still working out. In addition, our website is currently undergoing a make-over to give it a fresh new look and support the new online membership process. We have a presence on Facebook and Strava and are looking for more ways to reach our cycling community via social media. These changes allow for easier, less-time consuming and labor intensive management, which will make the role of supporting these processes easier for our club volunteers.
Recently there have been several resignations due to time commitment, and a need to focus on other priorities. If you have interest in any of these roles, or just want to see how the club is managed, please come to one of our monthly meetings, first Tuesday of every month (except Dec and July), 7:00pm at the East Lyme Public Library. Ask at the desk for directions to the room. All members are welcome and encouraged to attend. The meeting usually lasts about an hour.
Jim Zito has been our treasurer for 16 years and has recently decided to resign from this role, leaving us with an opening for a new volunteer to step up and assume responsibility in December.
Keep the accounts – track income, expenses, issue reimbursement, report activity in monthly board meeting, annual account audit.
Accounts are online, can be tracked electronically, issue payments via bill pay, automated deposits. This will be a change from the manual process Jim has used over the years, and he is happy to work with the new treasurer during the transition. The president (Shelley) also has access to the accounts and has been keeping electronic copies of statements and downloading transactions for the last 18 months, so this transition should be very easy.
Laura O’Connell has created our monthly electronic newsletter for the last two years, after taking over for Nancy Reed. If we want to continue receiving a newsletter, we need a volunteer to take over in December. Laura is also making herself available to support the transition to a new volunteer between now and Dec.
Focal point for any club communications or public announcements needing to be included (e.g., club events, club rides, external rides, community events on cycling, cycling safety, cycling laws).
Distributes articles, tips, updates, announces new members, provides contact info.
Backs up Communications in sending email notifications to club distribution list.
Gretchen Glaub has done all of our club email messages for the last 15 years, with Laura as backup. She is also stepping down and needs a replacement as of December.
Focal point for any club messages needing to be distributed via email.
Maintains club email distribution list.
Directs any incoming messages to appropriate party.
Winter Events Chair –
position has been vacant since Duncan resigned this spring.
Plan or coordinate hiking and other club events during the off-season (fall, winter, early spring).
Draft and provide emails for distribution to club membership containing details of planned events.
Update club website and club calendar with event information.
